GAP Analysis & Self Assessments

ASSA can undertake a comprehensive gap analysis or support an organisation’s own self-assessment processes to identify and check that Quality Management Systems (QMS) and processes meet the requirements of the standards and certification you are seeking.

Gap analysis and self-assessment support can be tailored to your organisational requirements. To that end, our services may involve staff audit awareness, documentation review; site observations; as well as management and staff interviews. It all depends on your needs, and ASSA can tailor solutions to them.

Audit Preparation Planning

Following a Gap Analysis or based on your organisations own self-assessment, an Audit Preparation Plan (APP) can be developed to address any and all identified gaps and risks area leading up to Audit Certification processes. Audit Preparation Plans, whether developed quickly or with the luxury of time (APPs), can provide detailed actions with defined timeframes, to support existing systems and processes that meet relevant and required certification standards.

Preparation planning may also involve audit awareness and staff readiness processes. ASSA delivers engagement conversations with staff through to more formalised education offerings. These can be delivered either onsite in real-time or virtually.

System Development

ASSA can support organisations and services that do not have any existing systems (meeting structures, reporting processes) or relevant policy and procedural guidance, (documents) including policies, procedures, manuals, forms, handbooks. Where the gap assessment shows your existing system needs to improve to meet the requirements of the desired standard, ASSA can work with you to develop and implement these systems and processes directly or in partnership with you.

In addition to policy and procedure development, other areas may include governance and management structures and processes: internal audit processes; risk management, business planning; operational and clinical service governance and oversight.

Audit Preparation Plan (APP) Implementation

Any Quality Management System (QMS) should be documented and implemented to meet the requirements of the desired standards. Once you have an Audit Preparation Plan (APP) developed the real work begins. This is when ASSA comes to the fore and can either support rollout or direct implementation of actions contained within plans. ASSA can also provide onsite or desktop coaching and advisory support to management and staff to guide the implementation of change processes and new quality management systems and internal processes.

Onsite Audit Support

All certification cycles require either onsite or remote desktop external audits to be conducted by independent auditors and certificating accreditation bodies. These processes need not be stressful; however, they often are. To that end, ASSA offers organisations that do not have sufficient internal resources, onsite or desktop support to coordinate external audits plans and arrangements.

In addition, ASSA will attend the external audit processes and assist you, your staff and the external auditor(s) to ensure a better and smoother audit experience.

Post Audit Support

Following nearly all external audit processes, organisations are required to address audit outcomes and results. This may include a number of not-met standards or non-conformities, whilst not uncommon, this feels deflating. In addition, the organisation may receive a number or observations and opportunities for improvement. This is why ASSA offers audit debriefing, coaching and planning support to address audit outcomes results.

Audit outcomes may require some minor changes to your Quality Management System or more extensive remediation and corrective actions to be taken. ASSA is able to support your organisation develop Corrective Action Plans (CAPs) to address non-conformities and bring your Quality Management System back to standard.

In addition, ASSA can support your organisation to maintain what it has achieved, as the certification body will come back for future additional surveillance and re-certification audits.
